Estimate Usage for Qualification-First Calls
A deeper intake path may give a salesperson better context, but every question takes caller time. Estimate the mix and keep the decision boundary clear.
For a B2B sales line, a useful inbound conversation can be more than a name and callback number. It may ask enough questions to help a rep choose a next step. But “more questions” is not automatically better qualification, and a longer call changes the monthly usage estimate. Use a buyer-owned worksheet to decide which criteria deserve time on the first call.
Separate essential context from later discovery
List the caller details a salesperson actually needs before the first follow-up. Mark each as essential for routing, helpful but optional, or best answered by a person later. Then group expected inbound calls into short standard intake, longer qualification, and exception or human-handoff cases. Multiply monthly count by expected inbound minutes for each group and sum the results.
Use observed call times if available. If not, label estimates and revise them after real usage. Do not turn this into an automated lead score or a promise that every caller will be verified or sales-ready. Our qualification-rubric guide helps frame the questions; the worksheet here adds the capacity and cost decision.

The standard AI Phone Agent subscription is $199 per month and includes 500 inbound minutes and 500 SMS per billing period. Additional inbound minutes are $0.12 each; additional SMS are $0.02 each. There is no setup or onboarding fee, initial setup is sales-assisted, and the subscription is month to month.
Illustrative month, not a quote: If a qualification-first line uses 590 inbound minutes and 520 SMS, the 90 extra minutes add $10.80 and 20 extra texts add $0.40. The illustrative phone-service total is $210.20 before other applicable charges. A 470-minute, 400-SMS month would remain at the $199 base. Actual usage determines charges.
Use time as a signal, not a score
If one group takes much longer than planned, ask whether the question is necessary before handoff, whether callers understand it, and whether a missing answer can be passed to the rep as unknown. A shorter call is not helpful if it strips out the context the rep needs; a longer one is not helpful if it tries to complete the whole sales conversation before a person gets involved.
Bring the question list and the three-group estimate to a qualification-criteria review. The result should be an approved intake boundary, not an invented conversion or lead-quality promise.
